Attendance & Cancellation Policy for Silver Lining Acupuncture
Please be aware that late cancellations and missed appointments have a big impact our small business. Silver Lining Acupuncture aims to combat the systemic structures that make health care cost-prohibitive for many people in this society. We are committed to supporting our community by creating accessible, client-centered care for as many as we are able.
Booking an appointment means you respect our time and understand and agree to our Attendance & Cancellation Policy and fees. When you schedule an appointment, you are reserving a space on our calendar and in our treatment room that is no longer available to our other patients. Our appointments are in high demand and we often have patients on a waiting list. A late cancellation or missed visit leaves a hole in our day that could have been filled by someone one.
To honor and protect our time and energy, we strictly enforce the following policies:
HOW TO CHANGE OR CANCEL YOUR APPOINTMENT
You may cancel or change your scheduled appointment up to 24 hours in advance of your appointment time via the “manage my appointment” link in your confirmation email or via the patient portal. An email, voicemail, or text sent regarding cancellation with more than 24 hours notice will also count as a proper appointment cancellation. Those who are experiencing same day extenuating circumstances such as family emergency or sudden illness may contact us directly at (503) 862-8835 to advise us.
Cancellation Fees & POLICIES
Our billing department will charge the method of payment on file for the $50 no show/late cancellation fee. Late cancellation fees and missed appointment fees are NOT billable to your insurance regardless of your benefit coverage – you are personally responsible for paying this fee. In addition to paying a $50 no show/late cancellation fee:
New patients who late cancel or no show for the initial appointment will not be able to reschedule a second time.
Established patients who late cancel or no show two times in a row will lose any regularly scheduled appointment slots and will be permitted to book only one follow up appointment at a time.
Established patients who late cancel or no show three times within a 6 month period will be removed form the schedule and referred to a provider outside of Silver Lining Acupuncture if requested.
LATE ARRIVALS
Please be sure to arrive on time as lateness will affect your time in session. We operate on a fully booked schedule and have very little wiggle room for last minute accommodations. For this reason, late arrivals will not result in later appointment ending times. Please text us if you are running late to request a 10 minute grace period for late arrival. If you think you will arrive more than 15 minutes late, we cannot guarantee that you will be seen. It is at the discretion of our office manager whether our schedule will allow us to provide you with a shortened session within your reserved time or if you will need to reschedule and pay the missed appointment fee.
INTAKE FORMS
All intake forms must be completed online within 24 hours before prior to your initial appointment. Forms are accessed by clicking the “manage my appointment” button in your confirmation email or via the patient portal. We are a paperless practice and are unable to offer the option to complete your forms in the office upon arrival. If you do not complete the intake forms before your appointment time, your appointment will be cancelled and subject to the $50 late cancellation fee.
APPOINTMENT REMINDERS
Appointment reminders are sent out 72 and 26 hours in advance via email. Additional reminders are sent out 48 hours and 2 hours in advance via text. Please notify the office if you have not been receiving reminders. We offer appointment reminders as a courtesy to our patients. If you do not receive an appointment reminder or have unsubscribed from this service, you are still responsible for your appointment.
